Grant research has always been a volume problem. There are thousands of active funding opportunities at any given moment - federal programs, state initiatives, private foundations, industry-specific awards - and the eligibility criteria shift constantly. Most founders I talk to spend a full workday every week just maintaining a list of opportunities they haven't applied to yet. That's not research. That's triage.
The question I kept running into in early 2026 wasn't "should I automate this?" It was "which parts of this process actually benefit from automation, and which parts fall apart when you remove a human?" That distinction matters more than the tools themselves. Approach A: Manual Research - What It Actually Costs You
Manual grant discovery means opening browser tabs. You visit Grants.gov, GrantStation, Candid, your state's economic development portal, and a handful of industry-specific databases. You filter by deadline, by eligibility, by award size. You copy rows into a spreadsheet. You check back next week because new grants posted since your last session.
The real cost isn't the hours - it's the inconsistency. When you do this manually, the quality of your list depends entirely on how much energy you had that day. Manual research does have a genuine advantage: you read the full eligibility requirements. The automated approach I've been testing pairs a reasoning model - in this case, Claude - with Airtable as the tracking layer. The workflow looks like this: Claude receives a structured prompt specifying your industry, business stage, location, and funding range. It returns a list of matching opportunities with deadlines, award amounts, and eligibility summaries. That output feeds into an Airtable base where each grant becomes a record with status fields, deadline reminders, and application notes.
What this does well is volume and consistency. The same prompt, run on the same schedule, returns results without the energy variance of a human researcher. You can run it daily. You can add a second prompt layer that cross-references new results against your existing Airtable records and flags only the ones you haven't seen - so you're reviewing a delta, not a full list, every time.
We ran into a version of this idempotency problem ourselves while building automation scripts for n8n workflows. I had a script that was supposed to modify 4 nodes in a workflow. Instead, it added 12 duplicate nodes - the script searched for node names that had already been renamed by the previous run, found nothing, and appended fresh copies without checking whether they already existed. For time-sensitive opportunities - grants with rolling deadlines or newly announced programs - you need either a live web search integration or a human spot-check against current sources. When to Use Which - Practical Guidance
Use manual research when the stakes are high and the eligibility criteria are complex. Federal grants with detailed compliance requirements, grants requiring letters of support from community partners, or any opportunity where misreading a single clause disqualifies your application - these warrant a human reading the source document.
Use the AI-assisted workflow for initial discovery and ongoing monitoring. Let Claude generate the candidate list. Let Airtable track status and deadlines. Then have a human - you, a team member, or a grant writer - do the final eligibility review before any application work begins. The automation handles the volume problem. The human handles the judgment problem.
There's a third scenario worth naming: if you're a solo founder with no budget for a grant writer and limited hours, the AI workflow gives you coverage you wouldn't otherwise have. You won't catch everything, but you'll catch more than you would with a spreadsheet you update when you remember to. Imperfect coverage beats no coverage.
One structural note on the Airtable side: the database only works if the fields are consistent from the start. Add a live search layer from day one. The biggest gap in a pure Claude + Airtable setup is that the AI's knowledge has a cutoff date. We'd connect a web search tool - something that can hit Grants.gov or a foundation's current listings - so the discovery step reflects what's actually open right now, not what was open when the model was trained. This changes the architecture slightly but eliminates the most dangerous failure mode.
Build the deduplication check before the first run, not after. Every time we've skipped this step in any automation - grant tracking, contact enrichment, node management - we've paid for it with cleanup work that takes longer than building it right would have.
